Terms and conditions

This page lists all terms and conditions that apply for the duration of a booking and during your stay at Hotel Nijmegen-Lent. General rules
  • You must follow all instructions by the staff at Hotel Nijmegen-Lent relating to the house rules.
  • The management and/or people working at Hotel Nijmegen-Lent cannot be held liable for any injury and/or material or immaterial damage suffered by visitors to the location.
  • Hotel Nijmegen-Lent is not responsible in case of loss or theft of your belongings.
  • Cameras are installed at various locations within Hotel Nijmegen-Lent; everyone who stays at our hotel consents to being recorded. In the event of calamities and/or incidents, these recordings may be shown to the authorities as supporting evidence. Footage is kept no longer than the retention period set by the authorities.
  • Found items must be handed in at the reception of Hotel Nijmegen-Lent.
  • Pets are not allowed in Hotel Nijmegen-Lent, with the exception of assistance and guide dogs. Other dogs, on a leash and properly supervised, are welcome in Lola’s bar, the lobby and on our outdoor terrace.
  • Hotel Nijmegen-Lent must comply with the stipulations of the Alcohol Act (formerly known as the Alcohol Licensing and Catering Act). This means that we don’t serve alcoholic beverages to visitors under the age of 18. If there are doubts about a visitor's age, hotel staff will ask them for ID.
  • If a person is suspected to be intoxicated, we will not serve them any alcohol.
  • Hotel Nijmegen-Lent does not make its premises available for purposes other than those set out in our policy. This means that it is forbidden to sell goods, deal in stolen items or offer services. In these cases, the prepaid cost of a room will not be refunded. 
  • Please do not leave your belongings unattended on the premises of Hotel Nijmegen-Lent or in your car. The hotel management is not liable for loss, damage or theft of your property.
  • Parking in the parking garage or in the surrounding area of Hotel Nijmegen-Lent is at your own risk.
  • You can check in from 14:00, whereas check-out is until 11:30. If you wish to prolong your stay or want to book a late check-out (up to no later than 17:00 and subject to availability only), please let us know before 11:30. The cost of the extension must also be paid before 11:30. We will then extend the validity of your room card.
  • Food or drinks left behind in a checked-out room will be discarded.
  • Anyone aged 18 or over can book a room. In each travel group, at least 1 person must be 18 years or older. A person who (also) books a stay for other participants is liable for all others that he or she registers. Minors travelling to our hotel must show proof of parental or guardian consent. If a traveller is under 18 years of age, we kindly request you to contact us by telephone.

 The following things are forbidden:

  • Taking any property of Hotel Nijmegen-Lent out of the hotel building. Anyone who deliberately damages hotel property can be held liable for the costs of repair and/or replacement.
  • Offending our guests and/or staff, using violence or threatening to use violence, making discriminatory remarks or sexually harassing people through word or gesture (action).
  • The possession, use or sale of (soft) drugs (including nitrous oxide cartridges) or weapons. Nitrous oxide tanks and cartridges that are brought into the hotel will be confiscated by us and will not be returned to you.
  • Causing a nuisance to others, e.g. by playing loud music, through unruly behaviour or by making any type of noise.
  • Staying in a room with more than the permitted number of people.
  • Receiving guests in your hotel room to engage in sexual activities in return for payment.
  • Smoking in the hotel room. If we find that people are smoking in the room anyway, we will charge a cleaning fee of €200. If the fire alarm goes off because you are smoking in your room, you will be removed from Hotel Nijmegen-Lent. Any costs that you have paid for your hotel room will not be refunded. 
  • Using emergency exits as if they were normal entrances and exits.

 In the event of a calamity

  • The management and staff of Hotel Nijmegen-Lent have your safety as a priority; in the event of a calamity, the emergency plan will be activated. You are kindly but urgently requested to follow any instructions given by the staff.
  • Stay calm.
  • In case of fire, notify the reception and/or activate the nearest fire alarm.
  • In the event of a general fire alarm, please leave the building immediately.
  • Under no circumstances should you use the elevators if there’s a fire.
  • In all cases not covered by these regulations, the decision is at the discretion of the management of Van der Valk Hotel Nijmegen-Lent.
Cancellation policies

Mandatory deposit

In case of a definitive booking with a total value of more than €5,000, we request an advance deposit of 75% of the booking amount. We will send you a deposit invoice in a timely manner and ask you to pay it at least two weeks before the day of arrival. The prepaid amount will be deducted from the final invoice amount. The final invoice will be sent to you following your visit and must be paid within 14 days after the invoice date. If payment is made after the due date, you will owe a 3% late payment surcharge on the invoice total.

Cancellation policy for individual bookings of up to 7 rooms

Rooms can be cancelled free of charge until 12:00 on the day of arrival. If a room is cancelled after this time or in case of a no-show, 100% of the booking value of the first night will be charged. When the booking concerns multiple nights, only the first night will be charged and any subsequent nights will be cancelled.

Cancellation policy for bookings of 8 rooms or more for a maximum amount of €7499

- Up to 4 weeks before the arrival date: changes and cancellations are free of charge.*

- Up to 5 days before the arrival date: up to 20 room nights can be cancelled free of charge, €50.00 will be charged for any additional room nights cancelled.

- Up to 24 hours before the arrival date: €50.00 will be charged for each room night cancelled.

- Within 24 hours before arrival or in case of no-show: 100% of the booking value will be charged.

* Bookings for an amount of €7500 or more can be cancelled or changed free of charge up to 8 weeks before the booked date.

Cancellation policy for bookings of meeting rooms for a maximum amount of €7499

- Up to 4 weeks before the booked date: cancellation is free of charge.**

- Within 4 weeks: 50% of the total booking value will be charged.

- Within 2 weeks: 60% of the total booking value will be charged.

- Within 1 week: 85% of the total booking value will be charged.

- Within 3 days: 100% of the total booking value will be charged.

- No-show: 100% of the total booking value will be charged.

** Bookings for a maximum amount of €1499 can be cancelled or changed free of charge up to 2 weeks before the booked date.

Changing the number of guests (meeting and F&B packages) for meeting room bookings for a maximum amount of €7499  

- Up to 4 weeks before the booked date: unlimited changes to the number of guests are possible.**

- Up to 2 weeks before the booked date: the original number of guests booked can be reduced by maximally 50%, any increase is possible free of charge subject to meeting room capacity.

- Up to 1 working day before the booked date: the original number of guests booked can be reduced by maximally 10%, any increase is possible free of charge subject to meeting room capacity.

** Bookings for a maximum amount of €1499 can be cancelled or changed free of charge up to 2 weeks before the booked date.

Cancellation policy for bookings of meeting rooms for an amount of €7500 or more

- Up to 8 weeks before the booked date: cancellation is free of charge

- Within 8 weeks: 50% of the total booking value will be charged

- Within 6 weeks: 60% of the total booking value will be charged

- Within 4 weeks: 75% of the total booking value will be charged

- Within 1 week: 85% of the total booking value will be charged

- Within 3 days: 100% of the total booking value will be charged

- No-show: 100% of the total booking value will be charged

Changing the number of guests (meeting and F&B packages) for meeting room bookings for an amount of €7500 or more 

- Up to 8 weeks before the booked date: unlimited changes to the number of guests are possible.

- Up to 6 weeks before the booked date: the original number of guests booked can be reduced by maximally 50%, any increase is possible free of charge subject to meeting room capacity.

- Up to 4 weeks before the booked date: the original number of guests booked can be reduced by maximally 25%, any increase is possible free of charge subject to meeting room capacity.

- Up to 1 working day before the booked date: the original number of guests booked can be reduced by maximally 10%, any increase is possible free of charge subject to meeting room capacity.

Guaranteed number of guests in case of meeting room bookings

If a guaranteed number of guests is stated in the offer, changes are possible as long as the stated number is adhered to. If no changes are communicated to us, we will assume the number of guests that was last indicated.

Definitive booking

Upon approval of a proposal sent by us, we request that you return the signed offer as soon as possible by e-mail or by post.

Uniform Conditions for the Hotel and Catering Industry

Where this framework agreement is in conflict with the Uniform Conditions for the Hotel and Catering Industry, this agreement will take precedence.

Privacy

We process personal data for the purpose of bookings and store them – under observation of the statutory retention periods – in a guest administration system. This is done in accordance with the law. We respect the privacy of those about whom we receive information and will treat this information as strictly confidential. We would also like to refer to our privacy and cookie statement. Smoking policy

Van der Valk Hotel Nijmegen-Lent is entirely non-smoking. Smoking is not allowed in hotel rooms or public areas such as the lobby, restaurant and bar. If our guests don’t adhere to this rule, we will charge a minimum fee of €200. Obviously, smoking is allowed on the outdoor terrace. We have also placed ashtrays in front of the main entrance. In addition, smoking is allowed in the rooftop garden.

Safety

If we find that people have been smoking or are smoking in a room, we will charge a minimum fee of €200. Anyone ignoring this rule will also be held responsible for deliberately endangering the hotel guests and employees at Van der Valk Hotel Nijmegen-Lent. If the fire alarm goes off because you are smoking in your room, you will be removed from Hotel Nijmegen-Lent. Any costs that you have paid for your hotel room will not be refunded.

Pets

Pets are welcome at Van der Valk Hotel Nijmegen-Lent (provided they are kept on a leash and are properly supervised) in the lobby, Lola's Bar and on the hotel’s outdoor terrace. In some specially selected rooms, dogs (but no other pets) are allowed (at a surcharge of €15.00 per dog per night, subject to room availability). In these cases, we will allow a maximum of two dogs per room. You may leave your dog alone in the room in a dog crate as long as it doesn’t bark or whine.

Obviously, the above rule doesn't apply to certified assistance and guide dogs.

Lost and found

Objects found in the public areas of the hotel or in a room or handed in at our reception will be treated as described in the Uniform Conditions for the Hotel and Catering Industry:

16.1 - Objects lost or left behind in the building and appurtenances of the hospitality business that are found by the guest must forthwith be presented to the hospitality business.

16.2 - The hospitality business acquires the title of objects of which the rightful owner did not report to the hospitality business within one year after presentation of the same to the hospitality business.

16.3 - If the hospitality business sends objects left behind by the guest to the guest then this shall take place entirely at the risk and expense of the guest. The hospitality business shall never be held to proceed with despatch.

Uniform Conditions for the Hotel and Catering Industry (UCHCI)

The Uniform Conditions for the Hotel and Catering Industry (UCHCI) apply to all agreements entered into by us.
