On this page, you can find all the terms and conditions that apply during the duration of a reservation and during a stay at Hotel Nijmegen-Lent. Option period and final reservation

If we receive another request for the same period before the date mentioned in the quotation, we will contact you (by phone and/or email) and kindly ask you to inform us of your decision within 24 hours. If we do not receive a response after 24 hours, your option will expire, and we will inform you via email.

You can confirm your optional reservation by returning this signed quote. This can be done by post or by email. By signing, you agree to the terms and conditions below. All our reservations are subject to the Uniform Conditions for the Hotel and Catering Industry (U.V.H.) and our own terms and conditions.

Terms and conditions for private room reservations

Payment options
- Payment by debit card, credit card or cash (invoice amount up to € 1000,-)

When the total amount of your meeting is less than € 1000, it is possible to pay by debit card, credit card, or cash at the hotel reception.

- Payment for bookings with a value above € 1000,-

For a final reservation with a total value of more than €1000, we ask for a deposit of 85%. We will send you a deposit invoice in due time and kindly request you to settle it no later than two weeks before the arrival date. The amount already paid will be deducted from the final bill.

You can settle the final bill at the hotel reception after your stay by debit card, credit card, or cash.

Cancellation conditions for room reservations up to an invoice amount of € 7499
- Up to 4 weeks before the reservation date: free cancellation.*
- From 4 weeks up to and including 14 days before the reservation date: 50% will be charged.
- From 13 days up to and including 7 days before the reservation date: 60% will be charged.
- From 6 days up to and including 3 days before the reservation date: 85% will be charged.
- From 2 days up to and including the day of the reservation and in case of a no-show: 100% will be charged.

In case of cancellation of the entire reservation, the percentages are calculated based on the total reservation value. If you cancel a part of the reservation, we will calculate the mentioned percentage on that part.

* Bookings with an invoice amount of up to € 749.99 can be canceled or changed free of charge up to 2 weeks before the reservation date.

Change in number of guests (meeting and F&B arrangements) for room reservations up to an invoice amount of € 7499.
- Up to 4 weeks before the reservation date: unlimited changes to the number of guests possible.
- Up to 1 working day before the reservation date at 17:00: a maximum reduction of 10% of the originally reserved number of guests is possible free of charge, increasing the number of guests is of course possible (depending on the room capacity).
- Within 1 working day before the reservation date and on the day of the reservation: reducing the numbers is no longer possible free of charge, increasing is of course possible (depending on the room capacity).

* Bookings with an invoice amount of up to € 749.99 can be canceled or changed free of charge up to 2 weeks before the reservation date.

Cancellation policy for room reservations for an invoice amount of € 7500 and above
- Up to 8 weeks before the reservation date: free cancellation.
- From 8 weeks up to and including 42 days before the reservation date: 50% will be charged.
- From 41 days up to and including 28 days before the reservation date: 60% will be charged.
- From 27 days up to and including 14 days before the reservation date: 75% will be charged.
- From 13 days up to and including 7 days before the reservation date: 85% will be charged.
- From 6 days up to and including the day of the reservation and in case of no-show: 100% will be charged.

In case of cancellation of the entire reservation, the percentages are calculated based on the total reservation value. If you cancel a part of the reservation, we will calculate the mentioned percentage on that part.

Change in number of guests (meeting and F&B packages) for an invoice amount of € 7500 and above.

- Up to 8 weeks before the reservation date: unlimited changes to the number of guests allowed.

- Up to 3 days before the reservation date: a maximum reduction of 10% of the originally reserved number of guests is possible, increasing the number is of course possible (depending on the room capacity).

- Within 3 days before the reservation date and on the day of the reservation: reducing the number of attendees is no longer possible free of charge, increasing the numbers is of course possible (depending on the room capacity).


Exceptions
The management may decide to apply different cancellation and modification conditions in some cases, if this is the case, they will be specified in the quotation.

Guaranteed number of room reservations
Where a guaranteed number is mentioned in the quotation or on our website for a specific package, changes are possible within the number of persons stated there. If we do not receive any changes, we will use the last number of guests provided.

Final reservation
Upon agreement on a sent proposal, we kindly request the signed quotation to be returned as soon as possible by email or post.

Uniform Conditions for the Hotel and Catering Industry
In cases where this framework agreement conflicts with the Uniform Conditions for the Hotel and Catering Industry, this agreement will prevail.

Privacy

We process personal data for reservations and store them in a guest administration system, in compliance with legal retention periods. We adhere to the law.

Terms and conditions for room reservations (up to 9 rooms)

Payment options
- Payment upon check-in by debit card, credit card, or cash (invoice amount up to €1000).

If the total amount of your reservation is less than € 1000, it is possible to pay by debit card, credit card, or cash upon check-in at the hotel reception.
To limit the number of contact moments at the reception, we prefer online check-in and payment. A few days before your stay, you will receive an email from us with up-to-date information.

The reservation is guaranteed until 18:00 on the day of arrival. If you or your guests arrive later, you can guarantee the reservation by providing a credit card number.


- Advance payment by bank transfer or with a payment link

It is possible to pay the full invoice amount in advance by bank transfer or via a payment link. We will send you a deposit invoice in time and ask you to pay it no later than two weeks before the arrival date. Any extras on the day of booking can be paid on-site at the relevant department or the hotel reception.

- Payment with a (virtual) credit card

When you choose to pay the costs with a (virtual) credit card, we will send you an authorization form in advance, on which you can fill in all the details and also give permission for the use of your card.

When paying with an (virtual) American Express credit card, we will charge a transaction fee of 4% on the total amount for invoices over €500. If you pay with a (virtual) VISA or Mastercard credit card, we will not charge any additional costs.

- Invoice request on account (only possible with a Dutch billing address)

If you wish to receive the invoice on account, you can submit a request on the following page.

Upon receipt of the fully completed form including an extract from the Chamber of Commerce, we will conduct a credit check. If the credit check is approved, we will send you a debtor number by email.
Payment by invoice is possible immediately.

If you wish to have a reference, order number, or any other identifier on the invoice, please provide it to us before the arrival date so that we can include it on the invoice.

We have a payment term of 14 days from the date of the invoice unless otherwise agreed upon in a regional or national framework agreement. In case of payment after the due date, you will owe a 3% credit restriction on the total invoice amount.

Down payment obligation
For a final reservation with a total value exceeding € 5,000, we require a deposit of 75%. We will send you a deposit invoice in due time and kindly ask you to settle it no later than two weeks before the arrival date. The amount already paid will be deducted from the final bill.

Cancellation policy for individual room reservations up to 9 rooms
The rooms can be canceled free of charge until 12:00 on the day of arrival. If the room(s) are canceled after this time or in case of a no show, 100% of the reservation value of the first night(s) will be charged. For a reservation of multiple nights, only the first night will be charged, and the subsequent nights will be canceled free of charge.

Cancellation policy non-refundable rate

Rooms booked at a non-refundable rate cannot be cancelled or modified free of charge. In case of cancellation, modification, or no show, 100% of the total stay will be charged.

Exceptions
The management may decide to apply different cancellation and modification conditions in some cases, if this is the case, they will be specified in the quotation.

Final reservation
Upon agreement on a sent proposal, we kindly request the signed quotation to be returned as soon as possible via email or post.

Uniform Conditions for the Hotel and Catering Industry
In cases where this framework agreement conflicts with the Uniform Conditions for the Hotel and Catering Industry, this agreement will prevail.

Dietary preferences

At Van der Valk, hygiene and food safety are of high importance. If there are guests with specific diets present, we kindly request the guest's name and the specific diet one week before the reservation date so that our kitchen team can take this into account. In the hotel, guests with a diet or allergy can always approach one of our staff members with questions about the dishes.

Despite our best efforts to accommodate dietary restrictions, we cannot guarantee the absence of traces or cross-contamination.

Lost and Found Policy

Items found in the public areas of the hotel or in the room, or handed in at our reception, will be handled as described in the Uniform Conditions for the Hotel and Catering Industry.

16.1 - Objects lost or left behind in the building and its premises of the catering establishment, which are found by the guest, must be promptly handed in to the catering establishment.
16.2 - The catering establishment shall acquire ownership of items for which the rightful owner has not reported within three months after they have been handed in at the catering establishment.
16.3 - If the catering establishment sends items left behind by the guest to them, this is entirely at the guest's expense and risk. The catering establishment is never obliged to send items.

Terms and conditions for room reservations (from 10 rooms)

Payment options
- Advance payment by bank transfer or with a payment link

It is possible to pay the full invoice amount in advance by bank transfer or via a payment link. We will send you a deposit invoice in time and ask you to pay it no later than two weeks before the arrival date. Any extras on the day of booking can be paid on-site at the relevant department or the hotel reception.

- Payment with a (virtual) credit card

When you choose to pay the costs with a (virtual) credit card, we will send you an authorization form prior to your meeting, on which you can fill in all the details and also give permission for the use of your card.

When paying with an (virtual) American Express credit card, we will charge a transaction fee of 4% on the total value for invoices above €500. If you pay with a (virtual) VISA or Mastercard credit card, we will not charge any additional costs.

- Invoice request on account (only possible with a Dutch billing address)

- Up to 7 days before the arrival date: it is possible to cancel up to 20 room nights free of charge, after which € 75.00 will be charged for each cancelled room night.
- From 6 days up to and including 2 days before the first arrival date: €75.00 will be charged for each cancelled room night.
- Within 2 days before the first arrival date or in case of no-show: 100% of the reservation value will be charged.

* Bookings with an invoice amount of € 7500 or more can be canceled or changed free of charge up to 8 weeks before the reservation date.

Exceptions
The management may decide to apply different cancellation and modification conditions in some cases, if this is the case, they will be specified in the quotation.

House rules

In the following regulations, you will find the most important house rules that apply at Van der Valk Hotel Nijmegen - Lent (hereinafter referred to as Hotel Nijmegen-Lent). We expect our guests to respect and accept these rules.

General rules

  • All instructions from employees of Hotel Nijmegen-Lent related to house rules must be followed.

  • The management and/or individuals working for Hotel Nijmegen-Lent cannot be held liable for any physical and/or material or immaterial damage that visitors of the location may experience.

  • Hotel Nijmegen - Lent is not responsible for the loss or theft of your belongings, including items located in the hotel room.

  • There are cameras installed at various locations within Hotel Nijmegen-Lent, and anyone present in our hotel agrees to being recorded. In case of emergencies and/or incidents, these recordings may be shown to the authorities as supporting material. The footage is not stored for longer than the retention period set by the government.

  • Lost items should be handed in at the reception of Hotel Nijmegen-Lent.

  • At Hotel Nijmegen-Lent, pets are not allowed, except for service and guide dogs. Other dogs are welcome in Lola's bar, the lobby, and on our terrace, as long as they are leashed and under control.

  • Hotel Nijmegen-Lent must comply with the requirements of the Alcohol Licensing and Catering Act, alcoholic beverages are therefore not provided to visitors under the age of 18. In case of doubt about the age of a visitor, hotel staff will ask you to show an identification document.

  • If there is suspicion of drunkenness, no alcohol will be served to the person in question.

  • Hotel Nijmegen-Lent does not make its location available for purposes other than those established in our policy, therefore it is prohibited to trade goods, fence or offer services. The amount for an already paid room will not be refunded.

  • Do not leave your belongings unattended at the Hotel Nijmegen-Lent location or in your car. The hotel management is not liable for the loss, damage, or theft of your belongings.

  • Parking, in the parking garage or around the hotel/ Hotel Nijmegen-Lent area, is at your own risk.

  • Check-in is possible from 14:00 and check-out should be done before 11:30. If you wish to stay longer or book a late check-out (up to 17:00 and only possible based on availability), please inform us by 11:30 at the latest. The extension must also be paid for by 11:30, after which we will extend your room key.

  • Food or drinks left in a checked-out room will be discarded. Toiletries and underwear will also be discarded without informing the guest.

  • Anyone aged 18 or older can reserve a room. In every travel group, at least 1 person must be 18 years or older. The person who books a trip for other participants is liable for all others he or she registers. Regarding minor travelers, it must be demonstrated that parents or guardians have given permission. If a traveler is not yet 18 years old, we kindly request to contact us by phone.

It is forbidden to

  • It is not allowed to take Hotel Nijmegen-Lent's properties outside the building. If someone intentionally damages the hotel's properties, they can be held liable for the repair and/or replacement costs.

  • To insult our guests and/or employees, to use violence or threaten with it, to make discriminatory remarks, or to sexually harass through words or gestures (actions).

  • To possess, use or trade (soft) drugs (including laughing gas cartridges) or weapons. Laughing gas bottles and cartridges brought in will be confiscated and will not be returned to you.

  • Causing inconvenience to others, for example through loud music, unpleasant behavior, or any kind of noise.

  • Staying in the room with more people than allowed.

  • To receive guests in the hotel room for sexual activities in exchange for payment.

  • Smoking in the hotel room. If we find out that smoking is taking place in the room, we will be forced to charge €200 cleaning fee. If the fire alarm goes off due to smoking in the room, you will be removed from Hotel Nijmegen-Lent. The amount for a pre-paid hotel room will not be refunded.

  • Emergency exits to be used as regular entrances and exits.

In case of an emergency

  • Management and staff of Hotel Nijmegen-Lent are watching over your safety, in case of emergencies the emergency plan will be activated. You are kindly but urgently requested to follow any instructions given by the staff.

  • Stay calm.

  • Report a fire at the reception and/or break the nearest fire alarm.

  • In case of a general fire alarm, leave the building immediately.

  • In case of fire, do not use the elevators under any circumstances.

In all cases not covered by this regulation, the management of Van der Valk Hotel Nijmegen - Lent will decide.

Smoking policy

Van der Valk Hotel Nijmegen-Lent is completely smoke-free. It is not allowed to smoke or vape in hotel rooms or in public areas such as the lobby, restaurant, and bar. If our guests do not comply with this rule, we will be forced to charge a minimum of €200. Our terrace is also smoke-free, but ashtrays are available at the main entrance. Additionally, smoking is permitted in the rooftop garden.

Safety
When we find out that smoking/vaping has occurred or is taking place in a room, we are obliged to charge a fee starting from €200. Individuals who ignore this rule will also be held responsible for knowingly endangering hotel guests and employees of Van der Valk Hotel Nijmegen-Lent. If the fire alarm goes off due to smoking in the room, you will be removed from Hotel Nijmegen-Lent. The amount paid for the hotel room will not be refunded.

Pet regulations

Dogs are only allowed in the hotel lobby, Lola's Bar, and on the terrace. Upon request, for an additional fee, dogs are allowed in some specially designated rooms. In other public areas such as the restaurant, meeting rooms, and guest room floors, pets are not allowed, except for guide and/or assistance dogs (provided they are leashed).

House rules for dogs

  • If you bring your dog to our hotel, please indicate this when making your reservation.

  • Dogs are not allowed to sit on our hotel beds, armchairs, or at the table.

  • It is not allowed to leave your dog alone in the hotel room when you are not present in the hotel. If you are using the restaurant, bar, or meeting rooms, please inform the reception so that we can reach you in case of noise disturbance.

  • The owner of the dog is held liable for the repair costs for damages to the interior.

  • When we have to compensate other guests for inconvenience caused by your dog, these costs will be charged to you.

  • We reserve the right to charge extra cleaning fees in case of excessive room contamination.

  • In case of persistent noise disturbance, such as barking, we reserve the right to remove the dog from the hotel. Removal due to disturbance does not entitle to a refund.

  • In the hotel, in the parking lot, and on the terrace, dogs must always be kept on a leash.

  • One dog per room is allowed.
